Administration and Shipping Coordinator (3 nos)

Kochi, Kerala

TROUVAY & CAUVIN is seeking for its back-end operations partner in India, Team Global Consultancy Services (TGCS), 3 Administration & Shipping Coordinators based in Kochi, India.

Job Purpose:

The Administration and Shipping Coordinator is responsible for the execution and the follow-up of orders, which include:

  • Review the customer purchase orders.
  • Executes customer orders per the agreed terms.
  • Provides updates to customers via formal weekly/monthly progress reports.
  • Coordinates with overseas and local suppliers on all aspects of the scope of the order.
  • Follow up with the yard and/or suppliers for material preparation and coordinate with QC for inspection.
  • Manage the Logistics & shipping as per order requirements and in compliance with the regulations
  • Preparation of shipping documentation, including shipping invoices, packing lists, and delivery notes.
  • Prepare system-generated accounts Invoices customers (inc submission).
  • After-sales follow-up of project performance as required.

 

KNOWLEDGE AND SKILL REQUIREMENTS

  • Bachelor’s Degree preferably in a technical discipline with 3 to 5 years of experience in a similar position and industry,
  • Well-versed with International Commercial Terms.
  • Knowledge of Letter’s of Credit.
  • Strong planning & organizational skills with a keen eye for detail.
  • Excellent communication skills in English (verbal and written).
  • Knowledge in ERP System
  • Customer-service oriented and interpersonal skills

Project Coordinator (3 nos)

TROUVAY & CAUVIN is seeking for its back-end operations partner in India, Team Global Consultancy Services (TGCS), 3 Project Coordinators (Mechanical Engineer) based in Kochi, India.

Job Purpose:

The Project Coordinator’s role is to support the Project Coordination Manager in the execution and monitoring of project orders. This includes:

  • Executing project planning and scheduling: The Project Coordinator ensures that all projects are planned effectively and scheduled promptly to meet the set deadlines.
  • Handling project documentation as per client requirements: The Project Coordinator is responsible for creating and maintaining all necessary project documentation as required by the client, ensuring all information is accurate, up-to-date, and readily available.
  • Providing project reports as required by the client: The Project Coordinator prepares detailed project reports as per the client’s requirements, providing regular updates on the project’s progress and status.

 

Point of contact for customers and suppliers at the post-order stage, the Project coordinator, takes the lead in processing orders, working closely with the Administrators and Quality Control department, and ensuring approval of documents and timely submittal of the final dossiers.

In addition, the Project Coordinator is responsible for maintaining the files for allocated orders to ensure all necessary information is available and for generating/providing reports per the contract, specifications, or internal requirements.

KNOWLEDGE AND SKILL REQUIREMENTS

  • Bachelor’s degree in a technical discipline, such as mechanical engineering, with 3 to 5 years of experience in a similar position and industry,
  • Knowledge of Sales/ Commerce/ Trading principals
  • Understanding of MTC’s, certification and test reports, with the ability to review these for correctness of content.
  • Basic understanding of international standards such as API, ASTM, EN, etc are beneficial.
  • Understanding to Quality Management practices and processes per ISO9001, ISO18001 & ISO45001 are highly beneficial,
  • Strong attention to detail, organisational skills, and drive to succeed
  • Interpersonal skills/ Customer-service orientation
  • Excellent English communication skills, both verbal and written,
  • Work requires a willingness to work from time to time in a flexible schedule if required by workload.

Job Purpose:

As part of its growth strategy, TROUVAY & CAUVIN is seeking a Business Development and Sales Manager – Energy based in Abu Dhabi.

Job purpose

The Business Development and Sales Manager carries out overall sales management and business development activities with specific customers in the Energy sectors for specific product brands, all grades of piping material, valves and accessories.

Supported by Inside Sales, the Business Development and Sales Manager is responsible for delivering his sales budget, establishing sales strategy and growing a product portfolio across market segments in liaison with the management.

KEY RESPONSIBILITIES

  • Commercial: Actively promotes the company’s products and seeks out and secures business opportunities, maintaining key relationships with clients, suppliers, and consultants to drive growth and profitability Tracks business opportunities, develops new and existing supply channels, develops and maintains key relationships. Manage offers submission and follow-up of offers, oversee project negotiations and execution, ensuring client satisfaction and enhancing the company’s brand visibility.

 

  • Financial: Establish the yearly sales/stock budget in liaison with the management. Design and implement the sales/stock strategy in liaison with management to ensure the budget is met or exceeded. Monitor monthly sales activity and performance, track the overdue/outstanding accounts, and take proactive measures to maximise turnover and overall profitability for the Company.

 

  • Operational: Assist Sales Engineers on all ongoing aspects of the Energy business. Manage enquiry review/ offer preparations/technical submissions/orders /sourcing strategies as per the company policies (Compliance, Quality and pricing)

 

KEY COMPETENCIES

  • Bachelor in Mechanical Engineering with a minimum of 5 years of experience in a similar position and sector in Abu Dhabi.
  • Strong technical knowledge of mechanical products used in Energy sectors
  • Aware of ADNOC specification, procedures and supply chain process.
  • Strong negotiation skills and Business principles knowledge
  • Thorough team management and motivation skills

Job Purpose: The role involves supporting Outside Sales in all aspects of sales activities and business development of the Energy Division.

This includes liaising with management, staff, clients, suppliers, partners, and authorities to ensure that all sales tasks, such as enquiry review, material sourcing, offer preparation, order processing, order expediting, delivery, document filing, and after-sales support, are performed in a professional and commercially sound manner.

KEY RESPONSIBILITIES

  • Client Relationship: Manage project enquiries and process orders through the company’s ERP system. Prepare quotations and offers in a timely manner, as per client requirements and company strategy. Support the sales team in technical and commercial negotiations and ensure follow-up on offers. Monitor customer accounts and resolve any order process issues.
  • Inside coordination: Provide necessary information to the sales team for sales preparation and editing. Coordinate with manufacturers and suppliers, assist in sourcing and purchasing materials, and prepare cost and margin calculations. Liaise with Head Office and local Management counterparts to establish sourcing and bidding strategy.
  • Relationships with Suppliers: Select local and overseas suppliers for sourcing materials. Issue professional enquiries to suppliers, follow up on quotations, and review offers to ensure alignment with client requirements. Prepare sub-orders for group companies or external suppliers.
  • Follow-up of the sales and after-sale: Organize and monitor order deliveries involving various parties (suppliers, freight forwarders, authorities, clients) to ensure timely receipt of customer payments. Oversee shipping documents, progress reports, and vendor documentation. Monitor project performance after sales.
  • Procedures and quality: Properly file all sales documents as per company procedure. Maintain trading in compliance with company terms and liaise with the Legal Department to review contractual documents for sensitive projects or claims. Handle client complaints by taking immediate action and reporting to the QSHE Manager.

 

KEY COMPETENCIES

  • Mechanical Engineer with 2 to 4 years of experience, preferably in a similar position and Industry.
  • Knowledge of Sale / Commerce / Trading principles
  • Knowledge of Pipes, Fittings, and Valves used in the Energy industry and related technical specifications.

Quality & Logistic Coordinator

The Quality & Logistic Coordinator oversees all operational and quality aspects of the company, ensuring efficient business operations, customer satisfaction, and continuous improvement in service, quality, and order management.

KEY RESPONSIBILITIES:

  • Procedure & Quality: Liaise with the Head Office for quality management reviews (QA / QMS / OHSAS / EMS) and corrective actions. Conduct internal and external audits and inspections to maintain and develop existing and new supplier qualifications, and address customer complaints.

  • Technical Review and Management: Manage all technical specification reviews, answer technical clarifications internally and with customers and suppliers, review material test certificates, arrange for additional testing, ensure compliance with customer requirements and applicable standards, review test reports, and prepare and submit final data documentation.

  • Order Management: Manage all orders from commercial handover, ensuring compliance with purchase orders and company standards. Expedite orders, prepare shipping documentation, and manage operations files. Act as a liaison between departments, the Head Office, customers, and suppliers to ensure smooth order delivery. Prepare, maintain, and submit detailed progress reports.

  • Operational Management: Oversee orders/projects management, ensure compliance with statutory and regulatory requirements, and maintain relationships with service providers.

  • Shipping: Request quotations, select the most appropriate shipping options (time/cost/service), and ensure timely delivery of necessary documents and special requirements.

 

KEY COMPETENCIES

  • Bachelor’s degree preferably in a technical field such as Engineering, Supply Chain or Science with a minimum of 5 years of experience in a similar position and industry.

Passionné(e) par les relations clients et le commerce technique, vous travaillez en collaboration étroite avec le Technico-Commercial itinérant et assurez le traitement commercial et administratif des commandes clients dans le respect des procédures internes.

PRINCIPALES RESPONSABILITES

Relation Clientèle

  • Promotion des produits et activités du groupe TROUVAY & CAUVIN sur des marchés assignés,
  • Développe, suit et entretient des relations étroites avec les clients existants en support du Technico-Commercial itinérants,
  • Examine les documents d’appel d’offres, prépare les soumissions techniques au client,
  • Prépare les devis et les offres commerciales conformément aux exigences des clients et aux conditions de vente de TROUVAY & CAUVIN
  • Assure le suivi des offres et des négociations techniques et commerciales sous la supervision de la direction
  • Réceptionne les commandes, et vérifie que les conditions sont conformes à l’offre.

Relations avec les fournisseurs

  • Collabore avec les fournisseurs locaux et étrangers pour l’approvisionnement en matériel et entretient les relations avec les principaux fournisseurs
  • Effectue le suivi des devis des fournisseurs et s’assure qu’ils sont conformes aux exigences clients.
  • Fournit des clarifications techniques et commerciales si nécessaire
  • Prépare et effectue des sous-commandes à des fournisseurs locaux et étrangers

 

Suivi des ventes et après-vente

  • Traite les réclamations des clients en prenant des mesures immédiates et en informant la Direction commerciale de toutes les réclamations techniques reçues.
  • Organise / surveille les livraisons de commandes avec les différentes parties impliquées (fournisseurs / transitaires / autorités / clients) jusqu’à l’émission des factures,

De formation Bac+2 Commerciale ou Technique (type INP-HB / ESBTP), vous possédez une expérience réussie dans la Vente, ou l’Assistanat Commercial auprès de l’industrie pétrolière ou de la construction. La connaissance du secteur métallurgique serait un plus.

This role requires a true valves expert with proven experience in DCP, water, firefighting, and MEP valves products. Ideally, candidates should have a minimum of 5 years of experience in a similar role, preferably within KSA.

Responsibilities:
