Administrative & Sales Coordinating Assistant

Job Purpose

Reporting to the Executive Vice President, the Administrative & Sales Coordinating Assistant supports the commercial, administrative, and operational functions of T&C Piping USA. This role combines sales coordination, project follow-up, office administration, client and supplier communication, documentation control, and basic financial and HR support to help ensure the office and customer-facing operations run smoothly, efficiently, and professionally.

This position liaises with T&C Piping USA management and staff, as well as with Group’s heads of departments and support teams, clients, suppliers, freight forwarders, partners, and authorities to ensure administrative tasks, order processing, delivery follow-up, documentation, invoicing support, and after-sales activities are performed in a timely, accurate, and commercially sound manner. The role also helps maintain office efficiency, proper filing, and communication across internal and external stakeholders.

Key Responsibilities

  • Manage office administration, filing systems, recordkeeping, and day-to-day office support.
  • Support management with reporting, internal coordination, and administrative follow-up.
  • Assist in preparing customer offers, quotations, acknowledgements of orders, and related sales correspondence.
  • Enter and process orders through the company ERP system and support order execution from receipt through delivery and invoicing.
  • Coordinate with internal teams, group companies, suppliers, mills, and support offices on order processing, sub-orders, and contract execution.
  • Organize and monitor deliveries with suppliers, freight forwarders, authorities, and clients, while maintaining clear progress communication.
  • Prepare and submit shipping documents, packing lists, commercial invoices, vendor document packages, progress reports, and other required customer documentation.
  • Support invoice preparation, supplier invoice coordination, payment follow-up, overdue account follow-up, and documentation required to issue customer invoices.
  • Maintain office services and administrative systems, including filing systems, office procedures, supply coordination, and general office operations.
  • Support preparation of reports, budgets, and internal administrative records as requested by management.
  • Participate in client meetings as needed and act as a professional point of contact between the company and external stakeholders.
  • Ensure all documents are properly filed and maintained in accordance with company procedures and quality requirements.

Key Competencies

  • Minimum of 2 years of relevant experience in sales coordination, project coordination, office administration, order processing, or a related support function.
  • Strong planning, organization, and time management skills, with the ability to manage multiple priorities, maintain accurate records, and meet deadlines.
  • Professional verbal and written communication skills in English, with strong interpersonal abilities and the capacity to build productive relationships with internal and external stakeholders.
  • Solid office administration skills and proficiency in Microsoft Office and general computer applications, with the ability to learn Company’s ERP and CRM systems as well as client documentation platforms.
  • Good understanding of order processing, documentation control, delivery coordination, and customer service support.
  • Ability to work effectively with management, sales teams, project personnel, suppliers, freight forwarders, and clients, demonstrating teamwork, collaboration, and customer-service orientation.
  • Strong analytical problem-solving skills, professional judgment, initiative, and follow-through.
  • High level of discretion, confidentiality, trustworthiness, and reliability in handling company and employee information.

Job Purpose

Services Engineer is responsible for conducting steam trap inspection and condition assessment programs across refineries, petrochemical plants, gas processing facilities, LNG plants, offshore platforms, and utility systems. The role focuses on improving steam system reliability, reducing energy losses, optimizing condensate recovery, supporting operational efficiency, and ensuring compliance with plant safety and integrity standards. The engineer performs field inspections using ultrasonic and thermal diagnostic equipment, identifies failed or inefficient steam traps, prepares technical reports, and provides recommendations to enhance steam system performance and reduce operational costs.

Key Responsibilities

Steam Trap Survey & Inspection

  • Conduct steam trap surveys in live operating Oil & Gas facilities including Refineries, Petrochemical plants, LNG facilities, Gas processing plants, Utility & boiler systems Offshore and onshore facilities
  • Inspect steam traps using Ultrasonic testing equipment, Infrared temperature measurement
  • Visual and operational assessment methods
  • Identify steam trap failures including verify correct steam trap installation, sizing, orientation, and application suitability.

 

Reporting & Documentation

  • Prepare detailed technical survey reports and steam trap audit documentation.
  • Generate: Failure analysis reports, Steam loss calculations, Energy-saving estimations, Repair/replacement recommendations
  • Update steam trap management databases and asset registers.
  • Provide client-ready reports aligned with plant maintenance and reliability requirements.

 

Maintenance & Reliability Support

  • Support plant reliability and integrity programs.
  • Coordinate with Operations teams, Mechanical maintenance teams, Reliability engineers, Energy management departments
  • Assist during shutdowns, turnarounds, and maintenance campaigns.
  • Recommend suitable steam trap technologies for critical process applications.

 

Procedures and Quality:

  • Ensure completion of all technical documents according to company procedures. Report any incidents and accidents within your area of responsibility to the QHSE Regional Manager.

 

Maintenance of Equipment / Facility:

  • Support the VAC Supervisor and Machinists in the maintenance of all machinery and equipment used by the Valve Automation Division, along with assisting in facility maintenance and services related to the improvement of company facilities.

 

Knowledge and Skill Requirements

  • Bachelor’s degree in engineering, with at least 5 years of experience in a similar position and industry,
  • Knowledge of steam traps and steam accessories of their technical specifications and applications in the Energy, and oil & gas industries.
  • Knowledge of Steam traps, steam accessories, assembly and repairs.
  • Ability to work independently at industrial sites
  • Ability to work in a team environment
  • Thorough knowledge of steam traps and steam trap management,
  • Knowledge of relevant API and ASME codes is necessary,
  • Ability to write technical reports, effectively present information, and respond to questions for groups of managers, customers, and coworkers,
  • Attention to detail, excellent organizational skills, and drive to succeed,
  • Interpersonal skills/ Customer-service orientation,
  • Excellent English communication skills, both verbal and written,
  • Willingness to work from time to time in a flexible schedule to accommodate workload demands,
  • Regular work on client site expected, including offshore site.
